Knock-down office furniture installation is the stage importers often underestimate: it is where fit-out schedules slip — not in production, but on a floor that is not ready and cartons stacked without a sequence. This guide summarises how the BG Office Furniture team helps clients complete office furniture installation systematically: site preparation, tools, assembly order per product type, time estimates and tips to keep projects on schedule.
Why is office furniture shipped knock-down?
Almost all office furniture is exported knock-down (flat-packed, ready to assemble). The reasons are practical: flat panels stack tightly so one 40HQ container holds 2–3 times more units than assembled goods, the risk of edge damage drops sharply because no joint carries a load, and shipments pass through narrow doors, lifts and stairwells easily. Assembly needs no wood glue — cam-lock joints and steel screws only. The technical background is covered in our knock-down import guide; loading figures are in the container loading guide.
Site preparation before installation
Check this list before the first carton is opened — every missing item adds hours to the installation crew:
- Flooring and painting finished (or protective film/cardboard along the hauling route).
- Power, AC and carpet/flooring done before desks are placed — not after.
- Access route: measure the largest door, lift and staircase against the largest panel (large meeting table panels can exceed 2 m).
- Staging area per floor: one empty room for unpacking — the pantry should not become a warehouse.
- Room-by-room plan with numbering: desk A-01, A-02, etc. BG labels cartons per room for project orders.
- Acclimatisation: leave cartons closed 12–24 hours in the air-conditioned room so panels adjust before assembly (especially in the rainy season).
For multi-floor projects, schedule deliveries zone by zone — the same pattern used in our branch office & fit-out projects.
Tools and equipment checklist
Knock-down assembly does not need a workshop — one small power-tool set is enough for a two-person team:
| Tool | Purpose | Note |
|---|---|---|
| Cordless drill + bit set | Driving cam & confirmat screws | 2 batteries, adjustable torque |
| Hex keys 4–6 mm | Cam-lock joints & frame bolts | One set per team |
| Phillips / flat screwdrivers | Hinges, drawer slides, handles | Medium & small sizes |
| Rubber mallet | Seating dowels without damaging edges | Never use a metal hammer |
| Spirit level | Levelling the desk via adjustable feet | 60 cm is enough |
| Tape measure & paper tape | Marking positions from the plan | Residue-free tape only |
| Aluminium ladder + gloves | Tall cabinet access & safety | One per two teams |
| Cutters & large waste bins | Opening cartons & packing waste | Short blade to protect panels |
Keep a spare hardware bag per model — lost screws are the number one cause of delayed installation days.
Standard assembly order by product type
The general order is always the same: frame first, panels second, accessories last. Time estimates below are for an experienced two-person team:
| Product type | Key steps | Estimate (2 people) |
|---|---|---|
| L-shape director desk | Frame → main top + return → cabinet/drawers → levelling | 30–45 min |
| Workstation per seat | Frame → top & modesty → privacy screen → pedestal & cables | 15–25 min |
| Manager / staff desk | Frame → top → drawer/shelf → levelling | 15–25 min |
| Cabinets & filing units | Body → doors & hinges → shelves & lock → casters (if any) | 15–30 min |
| Large / modular meeting table | Frame per module → connect modules → power modules → final levelling | 45–90 min |
Route cables before closing the back panels — a rule that saves rework later. The organising principles are in our office desk cable management guide.
Time estimates for real projects
Figures below are field estimates for typical projects; add 10–15% buffer where lift access is limited:
| Scenario | Units | Crew | Estimate |
|---|---|---|---|
| Single director room | 1 L-desk set + cabinet | 1 team | ½ day |
| Small operations office | 30 staff desks + cabinets | 2 teams | 2 days |
| Open office floor | 50 workstations + pedestals | 2–3 teams | 3–5 days |
| Full branch office | 150–200 mixed units | 3–4 teams | 10–14 days |
Production-to-container scheduling is covered in the lead time guide — align the installation date with the container devanning date to avoid mounting storage fees.
Tips to keep installation on schedule
- One dedicated QC walker — not assembling, but checking each zone as it completes.
- 2–3% spare parts buffer: hinges, slides and screws for the most-used units.
- Carton numbering per room from the factory — the crew should never hunt for cartons in a pile.
- Photo documentation per room at handover: the basis for warranty claims and acceptance.
- Do not open all cartons at once. Finish one zone, clear the cartons, then move on — the floor stays safe.
| Post-assembly QC point | Pass criteria |
|---|---|
| Desk stability | No wobble under diagonal pressure — levelling feet adjusted |
| Drawer slides & doors | Smooth, no body contact, even gaps |
| Locks & hinges | Functional, no drag, mounted straight |
| Cable routing | Neat, covered, not pinched by panels |
| Panel edges | No lifted PVC or dented corners from transit |
| Final cleanliness | Tape residue & drilling dust removed before handover |
Assemble in-house or hire an installation crew?
For a mixed container of 100–200 units, two common options: an internal team (2–4 people for 1–2 weeks) or a local fit-out installation provider. Below 50 units, an internal team is almost always cheaper; above 300 units with a tight deadline, a professional crew usually pays for itself. What must never be compromised: assembly documentation. Every BG shipment includes a manual per model, and our team provides assembly videos and remote technical support during working hours — send technical questions anytime via the contact page.
Quick FAQ
Do I need specialist carpenters for knock-down office furniture? No. Cam-lock joints and standard screws assemble with a cordless drill and hex keys — short training and a manual per model are all it takes.
How long does one L-shape director desk take? Around 30–45 minutes for a two-person team, including levelling and drawer fitting.
What should be checked before the container is devanned? Floor readiness, power, lift access, per-floor staging areas and a numbered floor plan — the full list is in the site preparation section above.
Is there a warranty if a component is defective? Yes. Send photos of the component to our team; replacements are processed with the next shipment. Full terms are in the warranty & after-sales guide.
